Eclipse Board Meeting 11-15-2009, 4:00 - 6:00 pm

Meeting Started at 4:04 pm by President Pips Veazey. All attendees introduced themselves.
Members present: Pips Veazey, Bev Luoma, Brian Luoma, Anita Simpson, Sue Signor, John Cadigan, Steve Zanazzo, Amy Geiger, Deb Triplehorn, Beckie Crawford, Steph McGinty, Sarah Keller, Annette Freymueller.
Review of Minutes: Sarah Keller moved to approve the 9-27-09 Eclipse Minutes. Amy Geiger seconded. All approved.
Financial Update: – Sue shared that the finances are in good shape and the same as they were at the AGM. She added that the end of the year reports are due, also that the $175 from each player and $100 per team for the coaching coordinator and goal keeper coordinator positions is due. Sue will also be sending an e-mail to treasurer's for their budgets.
Old Business:
1. FYSA Update: Brian Luoma said that there was no FYSA meeting to update everyone on.
2. Uniforms: Bev Luoma showed examples of uniforms since the club will have to change this year. The options are pretty basic and similar to what we already have. Anita Simpson made a motion to accept the purple uniform and bag for the Eclipse girls as presented by Bev. Sarah Keller seconded. All in favor. The motion passed. On the Phoenix side Bev presented the very limited options for the boys. She also added that some teams are staying with the old shorts and that the old jersey is still available in the youth XL which some teams have opted for. Amy Geiger moved to accept the gold jersey with the white stripe and the shorts with the white stripe. Sarah Keller seconded. All approved. The motion passed. Lastly, Bev provided options for the new training suit. Right now the options are not favorable because of different aspects of the two pants presented (one was too tight in the calf area to wear shin guards, the other, the bottom is huge). Bev offered to get a sample of the new training suit coming out in December, and will hopefully be able to present it at the January board meeting. The board decided to delay the decision on warm-ups until the next board meeting. Pips thanked our uniform coordinators, Bev Luoma and Sarah Keller, for stepping up and putting so much time into this very important function of our club!
3. New positions: Pips talked about the filling of the Goal Keeper Training and the Coaching Coordinator positions for a one year contract. John Cadigan will be the Goal Keeper Coordinator. He attended a goal keeper training in May and is anxious to share what he learned in his goal keeper sessions he will be providing to the teams in the club. He also attended the coaches meeting and discussed their goalie training needs. John Cadigan will send an e-mail to coaches, assistant coaches and the board. He will break training sessions down by age. We are thrilled that John has agreed to do this for our club. Dave Veazey is the Coaching Coordinator (discussion to change the title of this position). Dave is already working on running a Christmas clinic at the SRC for U10/U12 and about kicking off the academy by early February. Dave and John will be working together to coordinate Field Day. Dave is also working on the 2010 summer clinic and will give updates to the board.
4. Manager Training with Kay: Kay Jones with AYSA provided valuable manager training to about a dozen managers in our club. Also, Pips added that AYSA is a member of the USYS soccer organization, and not any others. Teams are required to pay the insurances associated with other tournament if they are not USYS, for example the Thanksgiving soccer tournament in Wasilla and the USA Cup in Minnesota. Kay is firm in saying that we are not covered in these tournaments. Also Kay said with player registrations on-line, that we will be able to print player cards right from the lists. Pips will ask Kay how we add a player at the last minute
5. Gas Reimbursement Increase: As a part of an increase in our membership fees last year, it was agreed to increase gas reimbursement for coaches per trip from $75.00 to $125.00 for head coaches. We pay for four in-state tournaments. Annette Freymueller made a motion to formally accept the new travel allowance increase from $75.00 to $125.00 to head coaches. Sarah Keller seconded. All in favor. Motion passes.
6. 92/93 team: We are trying to get a team together for both the girls and the boys. The teams would only be playing in the summer and if they play indoors would have to make sure they are covered on insurance. Kay Jones does not think this would be a problem. Sue Signor voiced that she does not want to be in the situation of collecting membership dues, etc. from the team without a manager or treasurer on board. As a board we need to require the team has some structure. It was suggested the parents be provided a checklist of what needs to be done for the team to exist. Also, some parents have written checks to the club to play. It was suggested the checks be returned to the parents until the team is viable for the summer. There was a question whether the team would have to participate in the club raffle, if they do play next summer. The executive board will meet to discuss the 92/93 team situation and how the teams need to move forward.
New Business:
1. 94 Tournament: Steph McGinty discussed the wishes of the 94 Eclipse and 94 Phoenix organizing the Jennifer Templeton Memorial Soccer Tournament again. The tentative dates are April 16 and 17 at Tanana Middle School. The tournament is U10 to high school and is 4 vs. 4 co-ed, which includes a quilt raffle, spaghetti feed and silent auction. The teams also contribute a portion of the profits to the Jennifer Templeton Scholarship fund for players. The board accepted the 94's request to do the tournament.
2. Coaches Meeting: At a recent coaches meeting at Zak's, coaches discussed keeper training, and younger teams asked what they should work on and mentoring. Pips encourages more coaches meetings, so they can all work together and help each other out. Pips asked what would be the best way for her to help facilitate coaching interaction. She looks forward to some feedback on how to help on this.
3. Club Newsletter: Amy Geiger offered to help put together a quarterly Eclipse Club newsletter which would include input/highlights from the coaches, the board, coaching/goalie coordinators and players. Thank you Amy!
