Eclipse Board Meeting 5-23-2010, 4:00 - 6:00 pm

Girl Scout Office

 

Meeting Started at 4:10pm by President Pips Veazey. All attendees introduced themselves.

                          

Review of Minutes: Amy Geiger moved to approve the 4-25-10 Eclipse Minutes. Sue Signor seconded. All approved.

 

Agenda Approval: Sue Signor moved to approve the agenda. Anita Simpson seconded. Agenda approved.

 

Financial Update: Sue shared that we are financially sound with total liabilities and equity at $67,113.37 as of May 19, 2010. Financials for the club are running smooth, just waiting for the bill for indoor gym rentals. Sue mentioned that the Ina K registration has increased to $575 per team. Additional tournament fees are something the board will need to start addressing in conjunction with yearly membership dues to cover these costs. The 94 Eclipse and Phoenix donated $360 to the Jennifer Templeton Memorial Soccership fund from proceeds from the 4 vs 4 tournament in April. In addition, Sue wanted to share that for those families that work the concessions at the Carlson, over $5,821 was generated this past year that was shared amongst families. In addition, the club will be paying $80/month and a $40 monthly service from Horizon for a port-a-potty at Randy Smith, with many of the club practices take place there. Lastly, Sue asked that if anyone has any expenses from Field Day to please submit them to her ASAP.

 

Old Business:

 

1.   FYSA Update: No FYSA update available.

2.   Registrar Update: Kate is working on Midnight Sun tournament registration for the club. Kate to send out a drop dead sign registration date for May 27th at Midnight. Also, Kate shared that June 20th with by the drop dead date for the Far North registration for teams for the July tournament.

3.   Coaching Coordinator and Goal Keeper Coordinator update: Field Day, May 16- Field Day was well attended and members of the club enjoyed the good food and fun provided to the teams. Thank you Dave Veazey for coordinating with the teams on food, supplies and set up. The club is glad to have Field Day back again. Also, many of the players participated in the excited goalie wars which was also coordinated by Dave. Goalie war results are on the club website! Anita Simpson mentioned that she has extra food from Field Day in her freezer and requested to donate it to FYSA for the Midnight Sun barbeque. It was agreed to donate the food to FYSA. Anita will contact Linda Burke; Goalkeeper training: John Cadigan will be letting goal keepers know when the next training session is this summer.

4.   Newsletter: Amy Geiger is looking for input so that she can have a Newsletter out ASAP Pips is working on a few articles for Amy along with some other members of the Eclipse Club. The newsletter is intended to start off simple.

5.   Vertical Soccer Club Update: Still waiting for a response from Clay. At this point there is no update.

6.   Soccerships: It was agreed by attendees that the date should be extended for soccership applications to May 28th. Amy Geiger will plan a meeting with the committee following that date to start awarding soccership money for qualifying candidates.

 

New Business:

 

1.   Succession Planning: Pips is interested in getting volunteers to fill vacant board positions. Contact Pips Veazey if you are interested.

2.   Executive board meeting around summer commitments: The executive board will meet as needed over the summer. Also Sue Signor provided an e-mail of duties that will need to be covered during the various absences of executive board members this summer. In the meantime the following dates were allocated for the for the 2010-2011 Season:

 

      Next Board Meeting - August 2nd, TBD

      September 1, 2 tentative Eclipse/Phoenix Tryout Dates, FYSA Fields

      Annual General Membership Meeting - October 17, 2010, Randy Smith

 

3. Raffle Update: Colleen shared that she is really pleased with how the raffle sales are going so far. There are plenty of locations to sell. Colleen is also ensuring that all members of the club sell their minimum $50 requirement.
