Eclipse Board Meeting 3-28-2010, 3:00 - 5:00 pm

Meeting Started at 3:05pm by President Pips Veazey. All attendees introduced themselves.

 

Members present: Pips Veazey, Anita Simpson, Sue Signor, Amy Geiger, Bill Black, Bill Mitchell, Natalie Mayer, Howard Maxwell, Steve Zanazzo, Beckie Crawford, Colleen O'Neill.

                          

Review of Minutes: Sue Signor moved to approve the 1-24-10 Eclipse Minutes. Amy Geiger seconded. All approved.

 

Financial Update: – Sue collected fees for the spring academy clinic and uniforms which were ordered for this group. A few more players are signing in at a prorated rate. All teams have paid for their fall gym fees. Sue will have the accounting done for the 3 v 3 tournament by the end of March. Approximately $7,000 will be split 3 ways by the three teams who coordinated the tournament. Sue shared that we have about 190 players rostered with the club right now, pending 92/93 teams forming or not. The club's deadline for new players is April 1st however it will be extended to April 15th for the older age group, and the possibility of new players added to rosters.

 

Old Business:

 

1.   FYSA Update: Brian Luoma was not available so there was no FYSA update. However, all Eclipse players do need to sign up for FYSA ($140) by May 1st. Look on the FYSA website, their are some promotional sign ups taking place April 17th at Play it Again Sports and more. We need everyone signed up by then so that FYSA can print player passes for all of our teams by May 15th!

2.   Registrar Search - Kate Armstrong is now the club Registrar ( instead of previously noted Chio Bussell). Pips welcomed Kate to the club. Kate is the aunt of Kelsey and Aidan McGinty and has been so gracious to volunteer to help our club out at this very important time. Thank you so much Kate! Kate will be sending Ina K. registration information very shortly! Also, Kate would like to have all player rosters by April 1, if you have not please get them to her ASAP!

3. Coerver/Summer Clinic/SpeedQuest Training - All teams are required to participate in the clinic, June 8-11 at the FYSA fields, times to be announced, the cost is $135/per player and a team check ($125 per player) to "Coerver Coaching", and the $10 FYSA player fee to "Eclipse Club" is to be sent by mail to Sue Signor by 4/23/10. Dave Veazey is still working on the SpeedQuest training dates.

4.   Uniforms - For the most part the uniforms have been ordered. The 2000 Eclipse team is sorting out their uniform order and will be submitting it in the next week.

5.   Newsletter - Amy Geiger talked about the club newsletter. Amy is looking for story submissions by coaches, players, and the board. Amy will send an e-mail requesting articles for the first newsletter.      

6.   Field Day, May 16th - Dave Veazey has scheduled the Eclipse Club Field Day to be on May 16th at Randy Smith.. The club will pay for the meat and buns and paper products. An announcement and potluck assignments needs to be distributed to the club. Any volunteers willing to help Dave out on this event should contact him directly at dave.veazey@alaska.edu

7.   Soccerships: Amy Geiger discussed the club soccership program and the need for clarity around the program so that we can get the program kicked off for this season. The Executive Board will meet to get their arms around the program so that it is clear and can be implemented. An update will be provided at the next board meeting.

8.   Vertical Soccer Club Update - The Vertical Club Soccer structure is a proposal by several people in town under FYSA to combine the competitive soccer teams as one under FYSA, due to the size of the community and the competition of getting the same players to roster teams for two separate club. It is in the preliminary stages and both the Eclipse and Cyclone soccer clubs are interested in learning more and how such a structure would work. Our club as a committee of about 8 dedicated individuals which will be putting a club proposal together to move forward to FYSA. Frank Trovato has made suggestions on how to do it and we are looking at it from a club perspective

9. 92/93 Team Proposal The 92/93 boys/girls team comprises mostly of juniors and seniors in high school who are busy with many other things in their life, but many still want to play soccer to some level. It is difficult to get parent involvement at this age and to get a team manager and treasurer. The club has decided to give these teams until April 15th to see if it is feasible to still form a team. The membership dues have been reduced to $95 and Pips will contact Linda at FYSA to find out what the cost will be for them to play in this modified season. Pips will be in touch with the parents/coach of these potential teams.

10. Summer Raffle - Colleen O'Neill shared that she is about to print the summer raffle tickets. The raffle date will be on Saturday, June 19th at 2 pm. Colleen will kick off the summer raffle at the 4 v 4 tournament on April 17th at Tanana Middle School. Team raffle coordinators will be able to pick up tickets from Colleen on that day. Each raffle coordinator will be responsible for the team tickets and money and will turn them in during collection dates that Colleen has set approx. every two weeks or so before the raffle ends in mid June. Colleen has worked very hard getting ticket sales location for players to sign up and sell at. Also there will be two incentives offered to players this year (prize not yet determined) for 1) most overall tickets sales, 2) winning $1,000 ticket seller! New Business:

 

1.   2000 Coaching: The 2000 Eclipse player pool currently has two team and two coaches running the practices. Kara Swoffer, on of the coaches has been working with the girls during the fall and winter months and would like to apply for a head coaching positions. Kara is submitting all appropriate paperwork showing her desire to be head coach. She is 19 years old and has been a previous Eclipse player for 9 years. The board discussed the idea of Kara being an interim head coach for the 2010 season with an organized mentorship program. Also, the club would like to see her get her E license in May. Howard Maxwell made a motion to make Kara Swoffer interim Head Coach for the 2000 girls team, with an organized mentorship program for the 2010 season with proper paperwork filed with the club. Amy Geiger seconded. All approve. Motion passes.

      The executive board will meet after Kara has submitted all paperwork to provide her a way forward with an organized plan for mentoring, E licensing paid by the club and overall club coaching expectations.

2.   Succession Planning for Next Year - Pips announced that there will be openings on the board this fall. The club is looking for board members, who are familiar with board process, to replace several positions. Any interest, please contact Pips Veazey. In addition, Pips would like to have a board meeting at the beginning of August, tentatively planned for Monday August 2nd at 6 pm, location TBD to begin talking fall club tryouts and AGM.

3.   Out of State Travel - Sue reminded everyone if they are travelling out of state that they need to fill out the out of state travel form. Contact Sue Signor if you need more information on this.

4.   Eclipse Clothing Orders - Natalie Mayer informed the board that the Eclipse '98 team is doing a spring Eclipse clothing sale and will be taking orders at the 4 vs 4 Jennifer Templeton tournament on April 17th at Tanana Middle School. An updated ordering form will be on the Eclipse website soon at http://www.eclipsesoccer.net.
