Eclipse Board Meeting Meeting 2-25-2007, 4-6 pm

Meeting Started at:  4:05pm

Members Present:  Larry Bright, Anita Simpson, Kim Stokes, Pips Veazey,  Kathy Port,  Greg Gibson, Sue Bishop, Dave Veazey, Rob Solomon, Bev Luoma, Brian Luoma, Dave Veazey, Bett Schaffhauser, Will Irvine; Guests:  Sue Kisken, Bill Kisken, Joyce and Mark Voight; Eric Court, Sawyer Kisken Thomas Voight, Eric and Christine Palm, Bryant Palm, Beckie Daniels, Cole Daniels.

 

Review of Minutes:  Howard Maxwell moved to adopt the January 21, 2007 Board meeting minutes.  Kathy Port seconded.  All in Favor.  Motion Passed.

 

Financial Update:  Activity included:  Fundraising concessions,, Building Rental and uniform payments, and tryout fees; Expenses included: Clinic expenses, fundraising expenses, field expenses, coaching payments, gym rental, tax preparation and uniforms Total assets as of February 25, 2007: :   $66,671.39.  Kim Stokes gave a financial summary – the taxes for the club are done, preparation fees increased $230 from last year; Hope did a great job getting all the information in order.  Recent tryout monies need to be turned into Kim; do not send cash in the mail; Kim needs to collect gym fees by March 15th from all teams using the gyms.  Dave Veazey has sent out a spreadsheet on monies owed by each team. 

 

 

Old Business:

 

  1. Update on FYSA Activities:  Brian Luoma provided an update of current FYSA activity.  The Concession is up for bid; Kathy Port to investigate the possibility of the Eclipse Club running the concession in the summer and to make a recommendation whether to consider it as a fundraising opportunity for the club.  Possibility of a good money source for a coaching coordinator.
  2. Webmaster:  The website is up and running.  www.eclipsesoccer.net  Bruce Gard is trying to manage the site.  Send your e-mails to Bruce regarding the website.
  3. Uniform Committee Report:  A spring order is taking place for all new players only.  Robin Miller is the new uniform coordinator for the girl’s teams and Kim Stokes is working with her to transfer responsibilities.
  4. Eclipse Logo:   Alan McGinty was unable to attend the meeting – agenda tabled to next meeting.
  5. Current Registration Issues:  Pips Veazey met with Kay Jones at the Soccer Symposium in Fairbanks.  She now has a manager’s manual from Kay which is very detailed and helpful.  FYSA has said that we can choose our own #’s for players on rosters.  Pips to send out information to get input on player #’s and how to handle it.    One significant change for the State Cup is that we do not need to sign the blue roster before state, only if the team makes it into the final.  Pips will be working the coordination of players cards – working out paper and laminating procedures for each team.  Pips also mentioned the need for the club to have a policy to standardize the transfer of guardianship when players are traveling with other parents.  Very important piece of legal paper work.
  6. Summer Clinic Updates:  The details are still be worked, especially regarding staffing of the clinic.  The payment of the clinic will be due by April ($135.00 a player).   Kathy Port brought up the issue that on their ’92 Phoenix team that 2 players are from Healy and that their school does not get out until June 1st and the clinic will have already started.  It was suggested their clinic fees be pro rated.
  7. State Cup in Kenai Housing: A heads up was provided that accommodations in Kenai are very scarce for the State Cup and that teams need to get on top of this to make sure they will have a place to stay.  Kathy Port gave the name of the Diamond Inn Ranch, a friend of hers, which is housing most of the 92 Phoenix team.  Large place and reasonable prices.
  8. Summer Clinics: Larry talked to Jennifer regarding the Summer Clinic end May/early June.  Planning is moving ahead. There are some staff issues.  We have asked for pretty much the same staff from last year.  There are some double booking staffing issues with a Chugach clinic.  They are being worked out.

 

 

New Business:

 

1.   U/8 and U/10 Clinics:  Dave Veazey shared that they are going really well.  So far the clinics have generated $460, almost covering the gym fees.  Dave expects there will be several more players signing up at today’s clinic (2/25) to definitely at least break even on gym time.  Great opportunity for players and good for the club.  These clinics will be continued at the FYSA fields this summer.  The Eclipse and Phoenix coaches have coordinated a schedule volunteering their time to run these clinics.  Coaches thank you so much for your dedication to improving the fundamentals of soccer at these younger levels

2.   Spring Tryouts – Report:  Howard Maxwell gave a report on the recent club tryouts that took place at Woodriver on February 24th.  Five teams had tryouts:  96 boys, 94 boys, 93 boys, 93 girls and 92 girls.  Players were added to several of the teams.  Howard thanked the club for running the ad and paying for it as well as gym time. 

3.   Potential New U17 Phoenix Team:   Several players and parents representing U17 boys came to the board requesting a new age group Phoenix team under the Eclipse Club.   Eric Court was introduced as the coach for the upcoming summer.  Larry mentioned that Eric has come through with flying colors with a letter of introduction 3 letters of reference and an exceptional background as a previous player of our community.  Eric shared that he has 9 commitment players wanting to play and that there are more that are interested.  He did mention that he is going to college outside right before state cup and that another coach would need to coach the team at state.  Larry stated that an assistant coach would be needed to support Eric and back him up, who is 19 years old.  Mark Voight offered to step in as assistant coach and to help with the discipline of players as well.  Kathy Port did mention that in the past we have had problems with younger coaches being able to discipline their teams.  Larry Bright feels the concern is legitimate.  Larry asked Eric Court to address the age issue and how he would handle any discipline problems.  He mentioned his experience running goalie clinics for the Cyclones this last summer and his experience as a goalie being a leader on his teams.  Players also shared their thoughts on Eric and shared they have a lot of respect for him as a player, person and potential coach.  Eric would also potentially run some goalie clinics for our club.  Eric also intends to work toward an E license for coaching this summer. Kathy Port made a motion to accept Eric Court as a U17 Phoenix Team coach with the stipulation that a separate authority figure would step up as an assistant coach.  Mark Voight/Eric Palin have offered to assistant coach and to step up into this role.  Dave Veazey seconded.  All in favor.  Motion passes.  The Eclipse club has added the U17 team to be formed this spring, contingent that there are enough players   The club coaching staff will be very active in supporting and helping with this new team.  Larry is please that our club can provide a place for these boys to play, but does not want this to be an issue of Eclipse vs. Renegades. The club is responsible to help this team succeed.  In order to make sure that there will be enough players on this team, a tryout is scheduled for March 24th at the SRC, 10 am - noon, and possibly the 26th if needed.  Time and Date to be confirmed.  The board approved to run newspaper ads and pay for gym time for the upcoming tryout.  Deon MacMillan will help to process the ad through the Newsminer.  A flyer will also be produced.  It was suggested that the cost of the tryout should be increased to at least $20 a player in order to cover a portion of the ads and gym time.

 

The next meeting will be Sunday, March 18, 2007 , 4-6 pm  at the Noel Wien Library.
