Eclipse Board Meeting 4-25-2010, 4:00 - 6:00 pm

Meeting Started at 4:08pm by President Pips Veazey. All attendees introduced themselves.
Members present: Pips Veazey, Anita Simpson, Sue Signor, Amy Geiger, Bill Mitchell, Annette Freymueller, Howard Maxwell, Steve Zanazzo, Kate Armstrong, Brian Luoma, Bev Luoma, Sarah Keller, and Colleen O'Neill.
Review of Minutes: Amy Geiger moved to approve the 3-28-10 Eclipse Minutes. Howard Maxwell seconded. All approved.
Agenda Approval: Amy Geiger moved to approve the agenda. Sue Signor seconded. Agenda approved.
Financial Update: Sue shared that we are financially sound with total liabilities and equity at $81,415.83 as of March 31, 2010. We currently have $4,600 earmarked for soccer scholarships which should be available once the final application process is accepted by the board. Sue will be sending out final gym rentals. Sue also asked if we have any additional expenses from the 3 vs. 3 tournament so that she can cut the checks.
Old Business:
1. FYSA Update: Brian announced that there are 3 open FYSA Board positions, and they are looking to fill them. FYSA got a $30,000 grant from Fairbanks Youth Sports in support of additional goals for South Davis, a power rake, and to hook up a well for the Ne of the complex. FYSA is very appreciate of this generous donation. Brian also shared that the field fee usage rates will stay the same as last year.
2. Registrar Update: Kate said that Inak Ka registrations for the club is now closed. Kate will be passing out player passes on May 16th at field day. She has also sent out numerous e-mails letting club members know that they need to sign up for Outdoor comp for the summer. Kate to touch base with Kay Jones on future tournament signups.
3. Coaching Coordinator and Goal Keeping Coordinator: Neither Dave or John were able to participate in the meeting due to soccer training. Club to get an update at the next meeting in May.
4. Uniforms: Bev has not hear any negatives or positives with the uniform orders in general. The orders have been arriving in a timely fashion, and uniform coordinators have mentioned that our representative Dave has been great to work with.
5. Newsletter: Amy Geiger is looking for input so that she can have a May 16th newsletter available for Field Day. Pips is preparing a few articles and Amy will be receiving some others from coaches and players. Pips added that we want to start off simple with the newsletter to get it kicked off.
6. Vertical Soccer Club Update: Clay has not given Pips anything new yet from what we saw earlier in the year. The committee will meet when Pips receives the proposal from Clay.
7. 92/93 Update: The Eclipse Club made a proposal to the 92/93 girls and boys teams to form by April 15th. Unfortunately a team did not form for either boys or girls team. Pips is looking for feedback how to make this process work better and to get parents involved so that these teams can potentially stay together for another year of soccer.
8. '00 coaching Update: The Executive board approved Kara Swoffer as a head interim coach for the 2000 Eclipse girls. Pips has had two conversations with Kara thanking her for her time and asked her what she needs as a coach for support. We will have 3 experienced coaches to work with her this summer to work and mentor her on coaching techniques and implementation of programs. Kara shared that she wants to do her best and thanks the Eclipse Club for the support.
9. Soccership Committee: The Executive board met with Amy to review the soccership application procedure and has condensed past documents into a simpler format which will be more user friendly and so the soccership committe can start awarding scholarships for this season. There is currently $4,600 in the account for scholarships, with about 1/3 of it being awarded for this season. The committee also gets funded from a portion of proceeds from the 4 vs 4 Jennifer Templeton Memorial Tournament. The board reviewed the documents. A few suggestions were made, including changing the requested range. Sue Signor make a motion to accept the updated soccership application with additions and deletions. Sue also emphasized that all scholarship money will be deposited into IPO's with all rules applying governing IPO's. In addition, all applications will be confidential and be discussed confidentially with the committee, and manager/coach. Sarah Keller seconded the motion. All in favor. Amy Geiger will be sending the updated soccership application process to all club members through Kate Armstrong with the deadline being May 15th, 2010.
10. Field Day, May 16th: Dave Veazey has scheduled the Eclipse Club Field Day to be on May 16th at Randy Smith.. The club will pay for the meat and buns and barbecue. Dave has sent out an announcement and potluck assignments to all teams. A barbecue and port-a-potty has been secured for the event. Player passes will be passed out by Kate Armstrong. Dave also will be having some fun activities for the kids. Hope to see all teams and coaches there for a fun Eclipse Field Day! New Business:
1. Succession Planning: Pips mentioned that she would like to seek a head of a search committee to start working the succession planning of the Eclipse Executive board members who have served their terms. If you are interested in leading this charge or would like to be on the committee, please contact Pips Veazey. Thank you!
