Eclipse Board Meeting 4-23-2006, 4-6 pm

Review of Minutes: Kathy Port made a motion to pass the 3-19-06 Meeting Minutes. Howard Maxwell seconded. All in favor, motion passed. Minutes adopted by Larry Bright. Minutes to be published to the Eclipse Club website.

 

Financial Update: We are starting to spend money. Activity included Clinic Fees/Expenses, Fundraising Concessions, Membership dues, FYSA Registration fees, Tryout Fees, Uniform Payments, Gym Rental, and Tournament Fees; Total assets as of April 23, 2006: $23,096.01. Hope Swoffer will start sending the treasurer’s report by e-mail to save on paper.

 

Old Business:

 

  1. Update on Uniform Order: Kim Stokes is sorting out remaining uniforms embroidery misspellings and redoing some of them. There are a couple of the training suits on backorder. Kim is down to 4 boxes in her house – would like to get them all distributed, so coaches/managers contact Kim for your order pick up/drop off! Kim commented that it is easier to bring the uniforms to the teams rather than distributing them at Field Day.

            Kathy Port said it feels like they have been ordering uniforms all year!         Kathy has        some extra uniform pieces, particular training suit bottoms. Contact Kathy to see what       she has. Larry Bright thanked Kathy and Kim for all of their hard work ordering,    distributing and overall being on top of the uniform orders! Thank you!

  1. Update of FYSA Activities: FYSA has purchased an office trailer to have at the fields. Also the first ever Run a Muck sponsored by FYSA was a great success with over 360 participants. Dave Milne is working on developing a one month academy/soccer clinics and is working on the prices of each. This year U11 will play 8vs8 with an 18 player roster, next year the roster will be 14. FYSA will charge $35 for the use of a ˝ field and $75 for a full field scrimmage. FYSA will pay for E and D licenses for up to $3,500. Interested coaches need to get on the list in person at FYSA. Land is starting to be cleared on South Fairbanks fields. Will start 2 fields this year and more next year. Dave Veazey discussed field usage controversy. He mentioned that for $10/hour a coach can offer developmental clinics for kids to get more training opportunities and being able to train the kids at the fields– see it as inexpensive training sessions for young players. Dave also provided an update on the indoor facility. He is almost sure that we will have $2 million from the legislature for the facility. They are looking at the facility behind the Big Dipper. Dave is working with the Mayor to get this project moving. He feels we could have a complex in the next 2 years. The competitive soccer schedule was discussed and Dave Veazey mentioned that it is an opportunity for comp coaches to design a schedule with FYSA. FYSA outdoor registration is open until May 28th. Coaches will need to attend upcoming coaches meeting. High School Soccer – there are political reasons for the current spring season, particularly in Anchorage. Fairbanks still working hard to get the schedule changed back to fall.
  2. Club Clinic Update: Jennifer Templeton said that things are lining up. All checks are in from the teams along with Frank’s down payment. Airline tickets have been lined out and places to stay for coaches. Coaches will be assigned to coaches shortly. Larry mentioned the great job and many hours Jennifer put in getting this clinic organized for the club!
  3. Registration Questions or Issues: Pips Veazey shared that registration is going great and has been relatively easy. She said the job is easier than expected (we know it is a lot of work and the club appreciates it!) Far North entry forms are ready to go. AYSA will require player passes for the Midnight Sun and Far North tournaments. Howard Maxwell mentioned to Pips about player passes being on one sheet. Pips was unclear how the players get numbers, but she will be working with MariAnn and Kay to finalize. Also 4 people helped volunteer to put information into the FYSA database – thank you.
  4. Soccerships: Sara Alden provided a detailed draft handout on this potential club program. She gave an overview and program description and went through the different types of scholarships envisioned for this program, including collegiate, ODP and Select, travel, player, and temporary emergency scholarships. The program includes a one page application form, a coach/ team manger reference letter and a player/and or parent form. How would this program be funded? Businesses are open to funding such scholarships. Funds would be solicited for such a program from businesses to fund this particular program only. Larry Bright asked that Sara e-mail to everyone the draft proposal for their review and comments. More discussion on this program will be included on the agenda of the next meeting. He also mentioned that we need a policy on how we evaluate the application process. Sue Bishop mentioned that she feels uncomfortable about assessing financial situations of players on the team for awarding such soccerships. Some are not based on financial, such as ODP and College soccerships. Howard Maxwell added that getting a fund started is key to the success of such a program and that we need to get the funds started ahead of time. Larry Bright thanked Sara for the outstanding job she did in putting together a proposed draft for the Eclipse Soccer Club scholarship program. He added that it is good to have guidelines for a program such as this but that we need to maintain a certain amount of flexibility to be able to work with the program without rewriting policy.

New Business:

 

1.   Concerns regarding club liability and player health – Kim Stokes brought up a concern regarding a new program Dave Veazey is working on and the liability. Dave Veazey has been is providing developmental clinics and a badge system for younger players. The question is who is liable if a player gets injured? Larry Bright asked Dave Veazey how many days a week he spending with teams. Generally these players meet at the UAF Student Rec Center, and have fun scrimmages and he has put together a training curriculum for mostly ‘97’s who are now playing rec and will pay comp starting next week... His summer vision is more geared to the ’97 team but would offer this to ’94 and ‘95’s. He will be setting up 20 clinics for the summer for a minimal fee. They will typically be 2 days a week on weekends. There are issues around over use and whether this is an Eclipse event along with other concerns. There are tensions with FYSA associated with Eclipse conflict of interest with previous problems in the past. Anybody can run these clinics that have an E certificate. It is not an Eclipse sponsored activity. The main concern is who has the liability. Larry Bright added that clear communication be made regarding these clinics – that they are for anyone of this age group; that the clinics are optional and parents decide if their child will attend. Dave Veazey and others running these clinics need to e-mail a clear communication before they can play that they pay the $7 to attend these clinics at the SRC. Dave Veazey to confirm SRC policy regarding these training sessions.

2.   Clean Up Day Sara Alden sent Larry Bright a note clarifying may 12th as Clean Up day and that the Eclipse Club should do clean up day and that it is good volunteerism and publicity for the club to participate. We need to contact United Way to sign up for a 2 hour slot for clean-up. It was suggested that near the soccer fields – Davis or Wilbur would be ideal! Stephanie McGinty and Pips Veazey stepped up to coordinate this effort with all teams. Stephanie to contact United Way for a slot; e-mail to all teams looking for at least 2-4 volunteers from each team to help during the designated time and location; and to coordinate bag pick up from United Way.    

3.   Field Day: May 21st is the date of the 2006 Eclipse Club Field Day and Family Barbecue at Randy Smith Soccer field, 1-4 pm, which will include fitness testing, a potluck barbeque, uniform handout/uniform exchange and auction. Anyone that wants to donate equipment or any other items to the auction would be great - all dollars will go to the scholarship fund. Team assignments for food, etc. and additional details sent out in a flyer to all teams by Larry Bright. Coaches need to have a meeting prior to Field Day to talk about what to do that day regarding fitness testing. Coaches to decide date of meeting after Board meeting.

4.   Summer Raffle – Nicole Nordstrand has agreed to coordinate the Summer Raffle this year, and is in the process of ordering tickets to be distributed at Field Day to team representatives. Also, Sheri Brechen is the new Gaming Representative for the Club. Thank you Nicole and Sheri for greatly helping out our club.

5.   Introduction of ’98 Potential Coach – Dave Veazey introduced Will Urban to the Board as a potential coach for the Eclipse’98 Team. He has an E license and is co-coaching the ’97 girl’s team. Currently Will is coaching 2 rec teams and has two daughters currently playing. He is greatly interested in coaching the ’98 team.

6.   Club Dues Transfer – Howard Maxwell has a current issue regarding club dues transfer to a sibling. He has a player on his ‘96 team who has paid the full membership dues but is not playing and he would like to transfer the funds from one brother to another brother who is playing on the ’94 team instead. . Howard Maxwell made a motion to accept this transfer of cub dues. Dave Veazey seconded. Gary Bender made the comment that he does not believe this merits a decision and that this should just be done. All in favor. Motion passed.

7.   Information for Coaches – Gary Bender attended the AYSA State Symposium. Everyone had a good time. He brought 2 items back: 1) USYS Coaching Connection and 2) Playing small sided games, especially with younger players – good material. Contact Gary for more information on these materials. Jennifer Templeton has taken an FYSA Board position – way to go Jennifer. Also the Phoenix ’97 team is looking for coaches early – the sooner the better. Also the AYSA District Commissioner position is still open. Also Gary mentioned that the AYSA website has some awesome lesions plans and a lot of free stuff. Also USYS.org is another great website with useful information.

8.   Miscellaneous Info: Kathy Port shared that if anyone needs an assistant coach Eclipse or Phoenix shirts for a coach – contact her directly. Lastly, Alan McGinty gave an update on the white shirt Eclipse uniform logo issue. It was discussed the possibility of updating our logo before considering a transfer to our white uniforms. There was a question if there should be one logo for the Eclipse/Phoenix team or two different logos as we currently have. Howard Maxwell suggested that a committee be formed to work the logo issue. Larry Bright asked that this logo issue be addressed at the next meeting and to be placed on the agenda; however for now the club will stay with the current logos for Eclipse and Phoenix teams.
