Eclipse Soccer Club Annual General Membership Meeting

A. Meeting Called to order at 4:35 pm by Club President Larry Bright during the potluck dinner.

B. Reports:

1. President – Larry Bright provided an overview of the 2005 – 2006 year for the Eclipse/Phoenix Soccer Club. He highlighted the year by congratulating the U-19 Eclipse, ’92 and ’94 Eclipse teams and the ’94 Phoenix team for winning the State Cup in their age groups. This is the first time the Club has achieved such an accomplishment, and wishes the best to these teams at Regionals next summer. Also, more teams than ever are playing for the Eclipse/Phoenix soccer club – 16 overall teams are in the Eclipse family for the upcoming 2006-2007 season. More players than ever before tried out in August – over 300!

 

Larry emphasized that we need to keep in mind what got us here. Many people were incremental in the success of the club. Specifically, Sara Alden, who started this club 11 years ago largely because there were no girl’s teams in Fairbanks to complete and now look how far the club has come – including the addition of the Phoenix boys teams.

 

This is Larry Bright’s 4th year as President, and in looking ahead for the club he shared several goals he believes are important for the club:

 

1)    Improve our service to Eclipse families, particularly through a Soccership Program. A committee was developed to form this fund and is getting started with a kick-off at today’s AGM with Deon MacMillan chairing a fund drive to get the soccership program started.

2)    Improve Support to Coaches – improve ability to support coaches by bringing on a coaching coordinator

3)    Provide more support for the overall community of soccer, for instance by pushing for an indoor facility.

 

Member Dave Veazey raised the important question on how funds would be raised to pay for a coaching coordinator position. Several different fund raising events to support this cause could be raised through sponsorships, and organizing a 5 K run similar to the FYSA run they had in spring. Any other ideas are welcome.

 

2.     Vice-President – Kathy Port introduced herself and thanked Larry for all of his support over the years. Kathy’s term expires as Vice President this month. Kathy has provided a lot of ideas, time and support to the Eclipse Club and all of her efforts have been greatly appreciated.

 

3.     Treasurer - Hope Swoffer provided the Eclipse Club profit and loss update . From October 2005 through September 2006. Hope’s term also expires as Treasurer this month. Hope also has provided endless hours as Treasurer and keeping us organized. Hope is handing over to the next treasurer a well running financial management system for the club after many years of perfecting it. Thank you very much Hope.

 

 

4.     Registrar – Pips Veazey introduced herself as Registrar and thanked everyone for a great year. With more teams, comes more paperwork, but the teams have done such a great job getting it all into Pips that it has been relatively easy. Membership forms are due soon. Pips asked that teams e-mail their rosters to her directly. Larry Bright commended Pips on her great job as Registrar.

 

5.     Secretary – Anita Simpson was introduced as the new Secretary of the club. All monthly Board meeting minutes are on the Eclipse Website. Review of October 2005 Minutes: No minutes are available from the October, 2005 meeting.

 

 

6.     Committees - Deon MacMillan is the chair of the Soccership Committee. At the meeting the committee organized a fund drive for contributions. Great opportunity to give to the program and also tax-free write-off.. At the end of the meeting, a drawing from those contributors will be held to win a new training suit. Kim Stokes and Kathy Port are the uniform coordinator for the Eclipse and Phoenix clubs respectively. Kim mentioned that all uniform orders are due from all teams at the meeting. All uniforms will be here in the spring. The official color of socks is purple, but if coaches want white ones in addition to the purple socks, individual teams can order them. Kathy Port mentioned that the Phoenix team is looking for a new uniform coordinator. Bev Luoma, also, has been helping with both the boys and girls uniforms.

 

  1. Unfinished Business – no unfinished business was discussed.

 

  1. Proposals for Changes (attachment provided) – Kathy Port presented the proposed By-Law Changes. They are:

 

*Delete By-Law 7.3    Howard Maxwell moved to delete 7.3. Seconded by Jeri Maxwell. Motion Passed Unanimously

 

*Reword to take out the word “Registrar” in By-Law 8.1.1.1. Hope Swoffer moves to delete working. Seconded by Howard Maxwell. Motion Passed Unanimously.

 

*Reword By- Law 8.1.1.2 . Howard Maxwell moved to re-word. Dave Veazey seconded. Motion Passed Unanimously

 

  1. Election of Officers –

Larry Bright complemented Kathy Port for her contributions as Vice-President, and Hope Swoffer as Treasurer. Kathy Port has been Vice President for 3 years and Hope Swoffer has been Treasurer for 6 years. Both have been instrumental to the Eclipse Club through the years. On behalf of the Club, Larry presented Kathy and Hope a card from members and a gift certificate for dinner. He also provided each of them a beautiful wooden pen in wooden boxes with the engraving “In appreciation of your years of service to the Eclipse Club.”

Vice-President: Kathy Port nominated Deon MacMillan as Vice President. Seconded by Pips Veazey. .   

 

Treasurer: Hope Swoffer nominated Kim Stokes as Treasurer. Seconded by Kathy Port.

Kim was unanimously voted in as the next Club Vice-President. As a condition of acceptance, Kim mentioned that her uniform coordinator duties will need to be passed on to a new coordinator.

 

  1. New Business:

 

The ’95 Eclipse team is looking for a long-term coach. Greg Gibson is coaching the team for the indoor season. There are 18 ready girls on the roster. Please contact Sara Keller if you or someone you know is interested. Sara also added that the ’95 Eclipse team is donating their balls to the newly formed ’98 team. She suggested that the club do a uniform/equipment swap in the spring to raise money for the club/soccership program.

 

The Phoenix ’93 team is looking for an assistant coach

 

 

  1. Good of the Game: Each coach/or team representative provided highlights of their 2006 season. Also, Deon MacMillan did the training suit drawing from the soccership contribution, and the club drawings for various donated items by the club and individual teams was drawn from members present at the meeting. Hope Swoffer has the results of the drawing on file.

 

  1. Adjournment – Larry Bright adjourned the meeting at 5:55 pm.
